Managing cloud infrastructure isn’t always easy. The constant need to adjust to various tasks spanning identity, collaboration, infrastructure, data movement platforms, manual processes, and inconsistent scripting can slow delivery and increase operational friction. Often spread across multiple applications, these challenges can quickly compound for organizations with lean IT teams as they balance speed, risk, and compliance in each project. Euclid Program Managers, a major insurance underwriter, was experiencing these issues and needed to enhance its working environment to improve project delivery speed while reducing the extensive, labor-intensive efforts placed upon its internal IT teams. Our team of knowledgeable professionals was ready to meet this challenge through a template-driven automation methodology, built using artificial intelligence to streamline repeatable operations, improve consistency, and reduce manual effort.

The Challenge

Managing Complex, Cross-System IT Operations With Less Effort 

Managing recurring operational tasks across multiple Microsoft Azure services had become a logistical challenge. With a high degree of complexity spread across multiple APIs, the IT team was forced into frequent context switching as they worked within each application. Making the issue more challenging, the operational processes had inconsistent scripting patterns that led to uneven logging, error handling, and auditability — a notable problem for edge cases that required further investigation. 

Because of the team’s relatively small size, having individuals specialize in each application wasn’t practical. And although Euclid Program Managers had employed automation in the past, our team recognized the need to take a more targeted, replicable approach that would enhance cloud infrastructure and accelerate task completion, including identity management, collaboration platforms, virtual desktops, and secure file transfers.

The Approach

Applying a Template-Driven, AI-Assisted Automation Methodology 

Knowing our work needed to be replicable and consistent, we looked to AI tools that could be built into a template. We then introduced a structured automation methodology that complemented our professionals’ skills and scaled them, laying a foundation that was rooted in human ingenuity and amplified by technology — not replacing human insight but rather removing the friction that slows good teams down.

  1. Our approach focused on creating standardized runbooks with embedded operational guardrails built in from the project’s commencement, so quality, security, and auditability weren’t afterthoughts or retrofits. 

  2. Using GitHub Copilot, we created AI-assisted templates and generated consistent runbook structures. These included standardized logging, error handling, notifications, dependency checks, and debug modes — the kinds of fundamentals that, when inconsistent, tend to create outsized headaches for developers and operators over time. 

  3. We next moved into a stage of production-based refinement, where we deployed each automation into the client’s operating environment and monitored it in real-world conditions, as opposed to just test scenarios. Based on our observations of how the automation performed and feedback from Euclid Program Managers, we then incorporated the lessons back into the template over a series of cycles, so each iteration became easier, cleaner, and more predictable than the last. 

  4. Finally, we used the updated templates to refactor earlier automations, allowing improvements to spread across the existing scripts without requiring the need to manually rework them or revisit solved problems repeatedly. This approach allowed us to focus engineering effort on architecture, integration logic, and risk management — the work that strongly benefits from human judgment — while using AI to support boilerplate creation and consistency across all relevant files, where speed and uniformity matter most.

The Results

Accelerating Delivery While Strengthening Reliability 

Over a four-month period, the template-driven approach supported the delivery of 28 automation projects deployed through Azure Automation, encompassing 14 production runbooks and approximately 20,500 lines of PowerShell code. These automations significantly reduced time-consuming, manual tasks, allowing IT teams to focus their efforts and talents on more knowledge-based operations. 

These productivity enhancements brought notable improvements to the cloud infrastructure services we provided in the form of key automations that included: 

  • A user off-boarding workflow coordinating identity, licensing, collaboration tools, and access removal with full audit logging 
  • Azure Virtual Desktop profile cleanup routines that reduced storage overhead 
  • Secure SharePoint-to-SFTP file transfers with resilient retry logic and Key Vault–based credential management 
  • Automated synchronization of phone number formats between Microsoft Teams and Entra ID 

Our efforts resulted in a nearly 50% improvement in delivery speed when compared to prior automations, 225 hours in manual labor saved, and approximately $61,000 saved in labor costs. 

Additionally, we took a model-agnostic approach to building each template, with most benefits attributable to the standards and methodology we employed rather than relying on a single AI model, further enhancing the replicability and use cases for each automation.
